Mini Session Capacity and Schedule Planning
Calculate how many mini-session cycles fit in a bookable window, then build a schedule with explicit turnaround, buffers, and booking limits.
Summary
Build capacity from usable minutes, not from the venue reservation printed on a contract. Remove setup, teardown, meal or rest breaks, set changes, and any protected buffer first. Then divide the remaining bookable window by the appointment cycle: session minutes plus the turnaround required between clients. Keep the resulting physical capacity separate from reservations and completed paid sessions.
This approach produces an auditable schedule boundary. It does not predict demand, late arrivals, weather, client readiness, or how much work one photographer can safely sustain.
Define usable event time
List the start and end of the venue or location access. Mark time that cannot hold an appointment. Setup may include lighting, signs, test frames, and check-in preparation. Teardown may include packing, cleanup, and a venue handoff. Breaks and planned set resets also reduce the usable window.
Convert the remaining continuous client window to minutes. If the day contains two separate blocks divided by a long break, calculate each block separately. Combining them can accidentally treat the break as bookable time.
Define one appointment cycle
Session minutes are the time reserved for photographing the client. Turnaround minutes cover the repeatable transition before the next client: walking out, greeting the next family, resetting a prop, checking the set, or recording notes. A general emergency buffer is different. Protect that buffer in the schedule rather than making every transition unrealistically long.
Use:
cycle minutes = session minutes + turnaround minutes
slot capacity = floor(
(bookable minutes + turnaround minutes) ÷ cycle minutes

The extra turnaround in the numerator accounts for the fact that the last session does not need a transition after it. The formula assumes consistent session and turnaround lengths inside one continuous block. If appointment types differ, build separate blocks or create a row-by-row schedule.
Synthetic worked example
Synthetic scenario — invented values for product demonstration and QA. Not a US or Canadian market benchmark. A photographer has a 300-minute venue reservation. They protect 30 minutes for setup, 20 minutes for a mid-event break, and 10 minutes for teardown, leaving 240 bookable minutes. Each session uses 15 minutes and each transition uses 5 minutes.
The appointment cycle is 20 minutes. Capacity is floor((240 + 5) ÷ 20), or 12 slots. The first appointment could begin at minute zero, followed by five transition minutes before the next appointment. The twelfth session ends without an additional transition. These invented timings only demonstrate the formula; they do not say that fifteen-minute sessions are appropriate for a particular offer or client group.
Turn capacity into a working schedule
Write every slot with a start and end time. Add a separate arrival instruction so clients know whether to arrive early and where to wait. Decide what happens when a client is late, but have an attorney or qualified local adviser review policy language where appropriate. The calculator does not create a contract or decide whether money may be retained after cancellation.
Limit public inventory to the number you can deliver under the written schedule. If you keep one slot as a recovery buffer, remove it from bookable capacity instead of counting it as revenue. Where multiple photographers or assistants work in parallel, model each independent set and shared bottleneck—such as one check-in point—rather than multiplying capacity automatically.
Connect capacity to event economics
Capacity answers “what fits,” not “what breaks even.” In a separate event model, enter booked slots, completed slots, fixed costs, variable cost per completion, price, and fees. A break-even count above physical capacity means the cost-and-price assumptions cannot recover fixed event costs inside that schedule. A break-even count below capacity still does not create bookings.
After the event, preserve the plan and record actual start times, delays, completions, costs, and total work hours. The linked IRS and CRA pages provide general recordkeeping context; they do not prescribe an event log or determine how a cost is reported.
Assumptions and exclusions
The capacity formula excludes demand, conversion, cancellations, late arrivals, weather, travel between locations, local permit rules, accessibility needs, and the physical limits of the photographer or team. Add buffers based on the real set, client experience, and team, and do not use the maximum mathematical count when it would compromise safety or service.
